Chapter 2: The Event Lifecycle Dashboard
The Dashboard is the central command center of BoothMaven (/dashboard). Rather than showing static vanity metrics, the dashboard is built around the three distinct phases of trade show execution: Pre-Event, Live-Event, and Post-Event. It ensures your marketing managers, booth captains, and sales executives stay aligned at every milestone.2.1 Global Event Switcher & Header
At the top of the dashboard, select any registered trade show from the event dropdown selector. The dashboard immediately adapts its metrics, staff rosters, live counters, and qualification goals to that specific event.- Event Status Badge β Highlights whether the chosen show is Upcoming (pre-show preparation), LIVE (currently active show floor), or Past (completed show under post-event follow-up).
- Venue & Date Indicators β Confirms show dates, daily booth hours, and physical hall/booth location.
- Quick Filter Tabs β Seamlessly toggle between Pre-Event, Live Event, and Post-Event views to review phase-specific tasks and KPIs.
2.2 Pre-Event Phase (Show Preparation)
In the weeks and days before the expo doors open, the Pre-Event tab focuses on operational readiness:- Collateral Readiness β Track creation and publication status of digital business cards for booth reps, interactive product microsites, downloadable PDF product sheets, and digital signage playlists.
- Booth Staff Roster β Verify all attending field reps have accepted their mobile app invites, set up their credentials, and downloaded the app.
- Qualification Setup β Confirm qualification questions and scoring rules are tailored to the eventβs attendee demographic.
- Pre-Booked Meetings & RSVPs β Monitor meeting invites accepted prior to the expo so reps know their daily calendar commitments.
2.3 Live-Event Phase (Show Floor Real-Time Execution)
While the trade show is active, the Live-Event tab acts as an executive pulse monitor:- Real-Time Lead Counter β Live tally of leads captured across all booth staff via badge scanning, business card OCR, and manual entry.
- Hourly Velocity & Peak Traffic β Visual bar chart showing attendee footfall and scan volume hour-by-hour across show days.
- Staff Leaderboard β Transparent tally of leads captured and meetings booked per booth staff member to drive healthy team competition.
- Digital Collateral Shares β Number of digital cards and brochures delivered to attendees directly from the booth floor.
- Todayβs Meeting Schedule β Live tracker of upcoming booth appointments, meeting rooms, and attendee arrivals.
2.4 Post-Event Phase (Lead Review & Conversion)
Once the expo concludes, the Post-Event tab shifts focus to lead quality, enrichment, and sales handoff:- Lead Quality Distribution β Visual breakdown of captured contacts by tier (Hot, Warm, Cool) and qualification score distribution.
- Enrichment & Verification Status β Snapshot showing total leads enriched with corporate data and verified emails ready for follow-up.
- CRM Pipeline Sync β Real-time audit of contacts synced directly to HubSpot or Salesforce, highlighting any pending records.
- Executive ROI Summary β Consolidated view of cost-per-lead, target account hits, and total pipeline generated.
