Chapter 2: Conversations & Floor Notes Hub

On a fast-moving show floor, booth staff often capture notes in hurried fragments — voice memos recorded while walking, quick text snippets between demos, or observations noted before an attendee’s badge has even been scanned. The Conversations Hub (/leads/conversation/list) is the central command center for reviewing, organizing, and qualifying these floor conversations.

2.1 The Conversations Feed & Audio Player

Navigate to Leads → Conversations in the left menu. All notes captured across your field team appear as interactive cards arranged chronologically:
  • Audio Voice Memos — Voice notes recorded by reps on the mobile app include an integrated audio player. Listen to spoken impressions, client requirements, and booth feedback directly in your browser with standard play/pause and progress scrubbing.
  • Quick Text Notes — Formatted text notes capturing key conversation takeaways, budget numbers, and project timelines.
  • Staff & Timestamp Attribution — Every note clearly attributes the field staff member who recorded it, the exact time recorded, and the associated trade show.

2.2 Untagged vs Tagged Notes Triage

Sometimes a staff member records a voice memo or takes a note before scanning an attendee’s badge or business card. BoothMaven saves these as Untagged Conversations so critical intelligence is never lost:
  • Filter Tabs — Easily switch between All, Tagged (linked to known contacts), and Untagged (awaiting contact assignment).
  • Tagging a Contact — Click Tag Contact on any untagged conversation card. Search for the attendee by name or company, and link the note with one click. The note and audio memo immediately attach to the contact’s unified profile timeline.

2.3 Conversation Engagement Tags

BoothMaven includes 8 standardized conversation engagement tags to rapidly qualify what transpired during the booth visit:
  • Wants a meeting — High-intent prospect seeking a formal follow-up meeting or demo.
  • Discussed pricing — Commercial discussion occurred regarding packaging, discounts, or proposals.
  • Showed them a demo — Rep completed a live software, hardware, or product walkthrough.
  • Asked for a trial — Prospect requested a free trial, sandbox account, or evaluation unit.
  • Took our brochure — General inquiry; prospect accepted collateral for offline review.
  • Quick chat / browsing — Casual booth visitor with preliminary or exploratory interest.
  • Not interested — Contact evaluated offering but declined interest at this time.
  • Not ideal profile — Contact does not match target ICP criteria (e.g. vendor, job seeker).
These tags feed directly into lead scoring algorithms and allow sales teams to prioritize immediate outreach to high-intent leads.

2.4 Managing Notes from the Web

Managers can also create new notes, edit transcripts or tags, and remove obsolete entries directly from the web portal:
  • Add Note — Click + New Note in the top right to record a follow-up observation or manual conversation record.
  • Edit & Refine — Click the pencil icon on any note card to update text, adjust engagement tags, or reassign contacts.
  • Delete — Remove unwanted or duplicate notes with confirmation safeguards.
